Guest Services Manager and Supervisory Cook

Part-time, Non-Benefits Eligible

 

Position Description

The Amerind Foundation of Dragoon, Arizona, seeks a part-time creative and detail oriented individual to serve as Amerind’s Guest Services Manager and Supervisory Cook under the supervision of the Vice President and working with staff, board members, scholars, artists, members, and volunteers. The Guest Services Manager and Supervisory Cook will have primary responsibility for managing rentals of Amerind property, planning and preparing housing for guests, setting menus, and preparing meals for research seminars; workshops; donor, member, and volunteer events; and resident scholars and artists (as needed).

 

Job Duties

Manage bookings of all rental units on campus including the Amerind library; Fulton Seminar House and its annex, dining room, and courtyard; Archaeology House; and Duplex Apartments

Manage outside cleaning service and housekeeping staff

Inspect each facility before each rental

Care for the Fulton Seminar House courtyard, kitchen, and cactus gardens

Inspect rental units for any repairs

Create event plans with detailed instructions for staff including time lines and duty assignments

Prepare billing, invoices, and receipts

Prepare annual budget for department and for all events

Oversee or assist planning and execution of special events

Organize and plan for guest stays, assess dietary preferences, plan and execute menus, manage travel arrivals and departures, plan menus and shop, oversee housing, cook meals, and supervise assistant cook staff

 

Requirements

Three years experience in related work, including meal preparation for large groups

Creativity and innovation in customer service, menu planning and preparation

Excellent customer service and ability to give utmost care to all

Strong clerical skills, including, but not limited to typing, filing, and mailing

Available to work a flexible schedule with days, evenings, and weekends

Ability to supervise part-time staff and volunteers

Strong communication skills with a diverse group of people

Ability to manage computer files in Word and Excel related to guests travel and dietary preferences, rental bookings, and menu planning

Ability to provide detailed instructions to assistant cook and cleaning staff

Detail and deadline oriented

Ability to maximize income from facility rentals

Food Handling Certificate or ability to obtain it before hire

Director of Membership

Position Description

The Amerind Foundation of Dragoon, Arizona, seeks a full-time, creative and detail oriented individual to serve as Amerind’s Director of Membership under the supervision of the President and Vice President and working with staff, members, and volunteers. The Director of Membership will have primary responsibility for managing all aspects of membership-related work and assisting in the administration of the work of the President and Vice President

 

Job Duties

Manages the Members Services program

Develops, implements, and evaluates new and creative ways to solicit and increase membership numbers and levels

Mails renewal notices to expiring members

Processes new and renewal memberships

Updates and maintains accuracy of membership databases, specifically PastPerfect

Prepare membership statistics and reports in Excel

Actively encourages membership renewals and keeps members up-to-date on program benefits

Provides reports to President and Vice President on membership statistics and trends

Writes, prepares, and distributes members and volunteer newsletters

Plans and executes membership events

Manage the PastPerfect database of Amerind members; update database; sends out and tracks renewal notices

Organizes and prepares the spring and fall appeal letters coordinating with the President

Prepares volunteer newsletter mailings

Prepares mailing lists for program brochure mailings

Coordinates with the Director of Philanthropy and President on members and donors stewardship and cultivation

Works special events as needed that may include weekend and evening work

Ability to travel to work on collections

Working with the Vice President and Chief Curator, supervises volunteers who work in collections and the museum lab on various projects, including inventory, scanning, and cataloguing.

Assists the President and Vice President with correspondence, projects, and collections, as needed

 

Requirements

Bachelor’s degree or equivalent experience in membership management or related experience

Master’s degree preferred

Creativity and innovation in new membership development

Detail and deadline oriented

Excellent customer service and ability to give utmost care to all members and potential members

Excellent knowledge and application of database management, preferably PastPerfect

Excellent knowledge and application of Excel and Word

Strong clerical skills, including, but not limited to typing, filing, and mailing

Available to work some special events on weekends and evenings

Available to travel to work on collections

Ability to supervise volunteers in collections and the museum lab

Excellent reading, writing, and editing skills in standard English

Strong communication skills with a diverse group of people

President and CEO

 

The Amerind Foundation, Inc., an 80 year old independent non-profit (501 (c) (3)) foundation located in Dragoon, Arizona, 60 miles east of Tucson, invites applications for President and CEO. Amerind facilities include a museum, art gallery, laboratory, research library, seminar house, and staff and visiting scholar residences, on a 1900 acre rural campus. The collections include research materials generated by archaeological projects, Native American art and ethnographic objects from throughout the Americas, and fine art works, including Native American and Western American paintings and sculptures. Amerind supports advanced scholarly seminars in anthropology, archaeology, and history, an academic publication series, and a variety of public programs and exhibits.


The President and CEO administers the foundation and directs a staff of 13 (7 FT, 6 PT). This position reports to and works directly with the Board of Directors on fundraising, setting strategic goals, and overseeing finances; works with staff on preparing and managing the annual budget, fundraising, writing grants, setting Amerind’s research agenda and strategic goals, organizing advanced seminars, and overseeing museum development and property maintenance. The successful candidate will have a PhD in anthropology or a related field and at least five years of relevant management experience. Applicants must possess proven skills in fundraising, research administration, public outreach, grant writing, business administration, and excellent communication and personnel management skills. Familiarity working with Native descendant communities is highly desirable. Salary is competitive and benefits include health insurance, simple IRA retirement plan, paid vacation days, and a staff car. The President and CEO must reside at the Foundation in Dragoon, AZ. Application evaluation will begin August 31, 2019, and continually thereafter until the position is filled. The new President and CEO is expected to begin work on January 1, 2020.
